Loxus Hair and Makeup Full Terms & Conditions

1. Definitions

The Client: The main recipient of the service 

The Brand: Loxus Hair & Makeup 

The Service: Hair and/or Makeup

Agreement: The agreement between the Client and the Company, confirmed by email, for provision of the service.

The Fee | The Investment: The amount payable by the Client to Loxus Hair and Makeup for the service in the Agreement or email 

The Event: The occasion and location where the service will be provided by the Brand

The Studio: Heol Pant Y Rhyn, Whitchurch, Cardiff, CF14 7DF 

The Artist: Hair and Makeup Artist, Hair Stylist, Makeup Artist (including Assistant Artists)

The Bridal Party: Persons in addition to the Client requiring services at The Event

2. Booking Policy

2.1 Loxus Hair & Makeup accepts bridal bookings up to 24 months in advance.

2.2 Loxus operates on a minimum booking investment of £450 per wedding date. This allows to reserve your morning exclusively and deliver the full Loxus Bridal Experience.

2.3 Due to the one-bride-per-date nature of Loxus bookings, securing your date removes availability for all other enquiries.

3. Securing Your Wedding Date & Payments

3.1 The total Investment is payable in three instalments.

3.2 A non‑refundable £100 deposit is required to secure the Event date. As Loxus operates on a one-bride-per-date basis, this fee removes availability from all other enquiries.

3.3 A second instalment of 30% of the remaining balance is due the month of the bridal preview( trial) and no later than the week of trial date.

3.4 The final balance is due one month prior to the Event Date.

3.5 Where the Event date falls within one month of booking, full payment is required at the time of securing.

3.6 Payments are accepted via bank transfer to:

3.7 Card payments are available upon request and incur administration fee of 5%. Cash and cheque payments are not accepted.

3.8 Early Morning Start fee ,prior to 6am may apply if required by ceremony timing, location change or/and bridal party size.

3.9 Additional assistant artist fees of £100 may apply and will be added to your collection.

3.10 Services cannot be reduced 90days prior to the Event Date.  Upgrades may be requested up to 30 days prior, subject to availability and written confirmation.

3.11 Payment and Appointment Protection

All payments are due as outlined and are not contingent upon attendance unless otherwise agreed in writing.

Where instalments remain unpaid, Loxus Hair & Make-up reserves the right to suspend or withdraw appointments and services until the account is settled in full.

4. Consultation & Bridal Trial

4.1 Consultations are available by appointments only.

4.2 Bridal previews(trials) take place at the Loxus Studio in Cardiff and are recommended 3–4 months prior to the Event Date.

4.3 Travel for trials is available upon request and charged separately.

4.4 Trial Duration:

Hair or Makeup: up to 1.5 hours

Hair and Makeup: up to 3 hours

4.5 One refined hair look to be trialled at your preview session. Within one hairstyle, we can:

• Adjust volume (softer vs fuller)

• Adjust face framing

• Shift parting

• Refine wave direction / structure

• Test veil placement

• Slightly elevate / soften sections

Clients are asked to arrive with clean, product-free hair to allow the best possible results.

4.6 One polished make-up look to be trialled at your preview session. Within one make-up look, we can:

• Skin prep

• Layering for longevity + glow

• Precision blending

• Refinement + adjustments

• Photography check (natural light / flash awareness)

Clients are asked to follow their usual skincare routine and attend the trial with make-up free face. 

4.7 One trial is included in the chosen collection.

Additional Hair Look Exploration may be added to the Signature Preview Session, subject to availability. 

Further preview sessions can be arranged if required, subject to availability.

4.8 Trial Rescheduling & Non-Attendance

Trial appointments require a minimum of seventy-two (72) hours’ written notice to reschedule.

In the event of late cancellation (less than 72 hours’ notice) or failure to attend a confirmed trial appointment, the scheduled trial will be deemed fulfilled and non-refundable. The associated instalment remains payable in accordance with the agreed payment schedule.

Any new trial appointment is subject to availability and must be secured with payment in advance.

4.9 Trial Preparation

To ensure the highest standard of results, clients are required to follow all pre-trial preparation guidance provided.

Failure to do so may impact the final outcome and, in some cases, may result in the service being modified, shortened, or refused.

In such circumstances, the full trial fee remains payable, as the appointment time has been exclusively reserved.

5. Bridal Party Trials

5.1 Bridal party trials are available upon request.

5.2 Multiple trials may require separate sessions.

5.3 Pricing is confirmed individually.

6. Wedding Morning Services

6.1 The preparation schedule is created based on confirmed services and must be followed.

6.2 Bridal party services are based on the selections confirmed within the Client’s proposal and questionnaire and may be adjusted prior to final schedule confirmation.

6.3 Timings:

Bride Hair: up to 1.5 hours

Bride Makeup: up to 1.5 hours

Bridal party services: 30–45 minutes per service

6.4 Services may be adjusted prior to final schedule confirmation.

6.5 Delays exceeding 30 minutes may result in missed services without refund.

7. Additional / On the day services

The following optional services may be added to the booking, subject to availability and written confirmation.

•Touch-Ups / Stay-On Service

• Post-ceremony refinement of the bride’s hair and makeup prior to formal photographs. Includes artist presence for up to 30 minutes following the ceremony.

• VIP EXPERIENCE | Bridal Look Change (Day to Evening) 

Transformation of the bridal look for the evening reception, including hair adjustments and makeup enhancement. The service will commence at the pre-agreed scheduled time. A maximum waiting period of 30 minutes from the confirmed start time is included. Delays beyond this period may result in reduced service time or forfeiture without refund.

• VIP EXPERIENCE | Full-Day Bridal Care 

Continuous on-site hair support and makeup touch-ups for the bride throughout the wedding day. This service applies to the bride only unless otherwise agreed in writing.

• Full-Size Lipstick (Bride’s Chosen Shade)

Full-size professional lipstick in the selected wedding shade.

• Personalised Touch-Up Kit

Bride-specific touch-up kit prepared following the preview session and tailored to the chosen look.

• Luxury Hair Extensions Matching Service

Professional colour , length and density matching service with BeautyWorks extensions ordered at your preview 

• Hair Accessories Trial 

Placement and styling of selected accessories during the preview session.

• Veil Positioning Guidance

Veil placement guidance provided during the preview session for the chosen hairstyle.

8. Communication

8.1 Primary communication is via email.

8.2 WhatsApp may be used for sharing images or videos.

9. Travel & Mileage

9.1 Travel outside Cardiff is charged at £0.50 per mile roundtrip

9.2 Travel exceeding 2.5 hours one way is classed as a destination booking and requires overnight accommodation.

Accommodation guideline per artist:

Dec–Mar: £50

Apr–May / Oct–Nov: £80

Jun–Sep: £100

10. Destination Weddings

10.1 Destination bookings are accepted subject to consultation.

10.2 All travel‑related expenses must be paid in full in advance.

10.3 A call‑out surcharge of £200 per day applies.

11. Cancellations

11.1 Supplier cancellation: all monies refunded within 7 days.

11.2 The booking deposit is non‑refundable and non‑transferable.

11.3 Due to the exclusive nature of Loxus bookings and one-bride-per-date availability, cancellations within 90 days require full payment, as the date cannot be reallocated.

11.4 Cancellation more than 90 days prior forfeits the deposit only.

11.5 Trial appointments are governed separately under Section 4 of this Agreement.

12. Late Payments

12.1 Where invoices remain outstanding, Loxus Hair & Make-up reserves the right to pause preparation, consultations, trials, or wedding day services until the balance is settled. Payment received after the contractual due date does not automatically reinstate paused or cancelled services, which remain subject to written confirmation by Loxus Hair & Make-up and continued availability.

12.2 Where an outstanding balance remains unpaid following written notice and a reasonable opportunity to remedy the overdue payment, Loxus Hair & Make-up reserves the right to terminate the booking for non-payment.

12.3Legal recovery costs may be added where applicable.

13. Photography & Marketing Usage

13.1 Loxus Hair & Makeup retains the right to use images and videos for marketing unless written opt‑out is received before the Event Date.

14. Client Responsibility

14.1 The Client must disclose all relevant medical conditions or sensitivities.

14.2 Loxus Hair & Make-up reserves the right to maintain a safe, professional and respectful working environment. Disruptive behaviour or excessive interference during services may impact timing and results.

15. Supplier Responsibility

5.1 Every effort will be made to fulfil this Agreement. Where unavoidable issues arise, suitable alternatives or compensation will be discussed.

5.2 While every effort is made to achieve the agreed look, final results may vary slightly due to individual features, hair condition, skin type, and environmental factors.

16. Force Majeure

Neither party shall be liable for events beyond reasonable control including (but not limited to) natural disasters, government restrictions, illness, or global events.

17. Giveaway & Competition – Bridal Hair & Makeup Winning Terms

17.1 From time to time, Loxus Hair & Makeup by Maya Jasinska HMUA may run giveaways, competitions, or promotional offers via social media, email marketing, or partner platforms.

17.2 The giveaway prize is valid for one Bride only and applies to Bridal Hair and Makeup services on the wedding day, unless otherwise explicitly stated in writing.

17.3 The prize is not transferable, not exchangeable, and cannot be redeemed for cash or alternative services.

17.4 The prize is valid only for the wedding date, venue, and services confirmed at the time of acceptance. Any changes are subject to availability and Supplier approval.

17.5 The winning Bride must meet the minimum booking requirement stated in this Agreement, unless the giveaway explicitly states otherwise.

17.6 The prize does not include bridal party services, additional assistants, trials (unless explicitly stated), travel fees, accommodation, destination fees, early start fees, look changes, hair extensions, accessories, or any other additional services. These are chargeable separately.

17.7 A £100 non-refundable booking deposit is required to secure the Event Date following confirmation of the win, unless otherwise stated in the giveaway terms.

17.8 If the winning Bride cancels the booking at any stage, the prize is forfeited and no monetary compensation or replacement prize will be offered.

17.9 The prize must be redeemed within the timeframe stated in the giveaway announcement. Expired prizes cannot be reinstated.

17.10 In the event the Supplier is unavailable due to circumstances beyond reasonable control, an alternative solution may be offered at the Supplier’s discretion; however, no cash alternative will be provided.

17.11 By accepting a giveaway prize, the Client agrees to be bound by these Terms & Conditions and the full Bridal Services Contract.

18. Promotional Offers & Priority Date Bookings

18.1 Where a booking is secured under a promotional offer, exclusive incentive, or priority booking arrangement, the Client acknowledges that the pricing reflects a preferential rate in exchange for committing to the Event Date.

18.2 As such, these bookings operate under a minimum booking commitment, and the Event Date is removed from availability for other enquiries upon securing.

18.3 In the event of cancellation by the Client at any stage, the Client agrees that:

• All payments made are non-refundable, and

• A minimum fee equivalent to 30% of the total booking value is retained as a fair and reasonable reflection of the business loss incurred, including but not limited to reserved date exclusivity, loss of alternative bookings, time allocation, and team scheduling.

18.4 Where services have already been carried out (including trials or appointments), these are chargeable in full and will be deducted from any payments received.

18.5 This clause reflects a genuine pre-estimate of loss and forms part of the agreed contractual terms at the time of booking.

Please note that by securing the Event Date or a trial booking by deposit, the Client confirms acceptance of these Terms & Conditions and the service standards of Loxus Hair & Make-up.
